★ What is Ongrid Integration


Ongrid is an ISO-certified digital platform for background verifications and checks. The integration of Ongrid on the Skillate platform aims to improve your recruiting flow by reducing the administrative tasks that recruiters need to manage while ordering background checks for candidates.


This integration helps you carry out multiple background checks and allows you to manage all these tasks from Skillate itself.



★ Integration of Ongrid


To integrate Ongrid,

  1. Configure the Candidate Form with the help of your Skillate Customer Success Manager.

  2. Enable Ongrid integration from Settings > Integration.

  3. Configure Ongrid setup from the Global Hiring Plan.

  4. Initiate the background verification from the Candidate’s Page.

  5. Track the status of the ordered background verification

[A] Configuring the Candidate Forms

Configure the ‘Candidate Form’ from the Forms tab, as per the requirement from Ongrid, to initiate the Background Verification.


To configure the Candidate Form,


[1] Log in to your Skillate Platform and navigate to Settings.


[2] Go to Job Setup > Forms > Candidate Forms from the Settings page.


[3] Configure the Candidate From as per the document provided by the Ongrid team as a guideline while asking the candidate for the details. 


Important: Please contact your Skillate Customer Success Manager to help you set up the Candidate Form as per your required verification. Skillate will collect all the necessary data points from the candidates as per the required Ongrid verification.


[4] Once you set up the candidate form as per the Ongrid verification, send the form to the required candidates before initiating the background check.

[B] Enablement of Ongrid


Follow the below-mentioned steps to enable the Ongrid account: 


[1] Log in to your Skillate Platform and navigate to Settings.


[2] From the Settings page, go to General Configuration > Integrations.


[3] On the Integrations page, scroll down to ‘Ongrid’ and click Connect.


[4] Enter the Credentials, such as User Name, Password, and Community ID provided by Ongrid. Click Save.


[5] Once you have completed the connection flow, you will be redirected back to the ‘Integrations’ page, and you will see the status of your connection.

[C] Configuring Ongrid at Global Hiring Plan


Once your Skillate and Ongrid accounts are connected, you can begin ordering background checks. 


You can configure the Background checks at Global Hiring Plan from Settings or set it up at each job level within the Job’s Hiring Plan. 


Important: It is recommended that you configure your Background Verification round within the Global Hiring Plan section from the Settings page. Once you configure it at the Global Hiring Plan level, then when you create any new jobs using these hiring plans, it automatically inherits all the associated rounds to your newly created jobs. This way, you do not have to configure Background Verification round at each job level.


Follow the below-mentioned steps to configure Ongrid setup at Global Hiring Plan:  


[1] Log in to Skillate Platform and navigate to Settings.


[2] From the Settings page, go to Job Setup > Hiring Plan.

NOTE: You can create a new hiring plan or update the existing one to add Background Verification round.


[3] Open any hiring plan where you wish to add the Background Verification roundFor example, ‘Default Hiring Plan.’


Important: Make sure you add Candidate Form & Background Verification Round in the required job stage. For example, when you add Candidate Form & Background Verification round within the Offer/Documentation stage, then you can initiate Candidate Form and Background Verification checks only when the candidates are in the Offer/Documentation stage.


[4] Before proceeding with Ongrid Configuration, ensure your Hiring Plan has a ‘Candidate Form’ round created. If not, create a new round for the ‘Candidate Form’ to configure it with the ‘Ongrid form.’ 

To add a new Round, 

  1. Go to the required stage where you wish to add a new Candidate Form round.

  2. Click on +Round.

  3. Select Round Type as ‘Candidate Form.’

  4. Fill in the Round Name and click Add Round.


[5] On the ‘Candidate Form’ round, click Configure. 


[6] Select a Candidate Form as ‘Ongrid Form.’ Fill in the relevant information in the ‘Email Template’ and ‘Notification’ sections. Click Save.


[7] Next, ensure your Hiring Plan has a ‘Background Verification Round’ created. If not, create a new round for ‘Background verification’ to configure it with Ongrid.

To add a new Round, 

  1. Go to the required stage where you wish to add a new round.

  2. Click on +Round.

  3. Select Round Type as ‘Background Verification.’

  4. Fill in the Round Name and click Add Round.


[8] On the ‘Background Verification’ round, click Configure.


[9] On the Configurations page, select a Background Check Platform as ‘Ongrid.’ Next, select the applicable Package and enter the Community ID. Additionally, you have to select users to notify upon completing the test, such as Recruiter, Recruiter Assistant, and Hiring Manager, or you can specify the email address in the Others column. Click Save.


[10] At the top, you will get a notification as ‘Background verification configured successfully.’ Post the success message; you can close the configuration page.


[11] Once you configure the Candidate Form and Background Verification round within Global Hiring Plan, you can create new jobs with this hiring plan and initiate a background check on a candidate.

[D] Initiating Background Verification


Follow the below-mentioned steps to initiate the background verification on a candidate:


[1] Log in to Skillate Platform and navigate to Jobs. 


[2] Open any job created with the above hiring plan (mentioned in Step C), where you have already configured the Candidate Form and Background Verification rounds.


[3] From the selected job page, navigate to Candidates. Under each active candidate, who all are in Offer/Documentation stage (as configured in Step C), you will see the option to send Candidate Form and Initiate Background Verification.’ link.



[4] It is recommended to send the Candidate Form to candidates before Initiating a Background Verification. Once you send a form, the candidate will receive an email notification to fill up the relevant details and submit it.


[5] Once you send a form, the candidate will receive an email notification to fill up the relevant details and submit it.

For example:


[6] Next, click on the ‘Initiate Background Verification’ link to initiate the background verification. A window will appear to ‘Initiate Background Check.’ All the details filled in by the candidates via Candidate Form will be mapped here, so you can check the details and initiate the background verification. Check all the details and click Initiate to start the background verification.


[7] At the top, upon a successful background check initiation, you will see the notification message as ‘Background Verification Initiated Successfully.’


[8] Once you initiate the background verification process, you can see the updated real-time status as ‘InProgress.’

[E] Tracking the status of background verification

Skillate allows you to track the real-time status of your ordered background verification. 

To track the status, 


[1] Navigate to the Job’s Overview page for which you initiated the background check.


[2] Go to the Candidates page.


[3] Navigate to the Candidate’ Profile for which you have initiated the background check. You will see a status labeled with its Background Check Status, Background Check Result, Estimated Time to Complete (only when the candidate submits the form), and link to the Ongrid dashboard.


[4] Once the status reads Complete, you can see the ‘Result Link’ to open the report in the Ongrid Dashboard.
